Administrative Assistant
Responsibilities:
- Maintain a professional atmosphere in the entrance lobby area.
- Greet visitors courteously and inform appropriate employees of their arrival.
- Answer and screen incoming calls.
- Type all office correspondence, reports, meeting minutes, etc., and copy/distribute accordingly.
- Keep standard office correspondence - such as - Project Directories, Rolodex, Certificate of Insurance updated at all times.
- Maintain organized files and staff schedules.
- Sort, prepare and deliver incoming/outgoing mail.
- Develop and maintain computerized spreadsheets.
- Control and log vendor invoices.
- Order office supplies and maintain service of all office equipment.
- Coordinate travel and administrative activities for management.
- Coordinate Conference Room activities/meetings.
- Interface with senior management.
- Perform special Projects/assignments for management as required/requested.
Minimum Requirements:
- High School Diploma or GED equivalent.
- Overall professional approach and appearance.
- Strong Computer software application skills.
- Proven record of providing excellent internal and external customer service.
- An outgoing, dynamic, high-energy individual .
- Must be organized with strong proofreading, grammatical and spelling skills.
- Exhibits excellent judgment.
- Ability to prioritize and demonstrate excellent time management skills.
- Team player.
